Panelist & Performers

Age: All panelists and performers must be at least 18 years old on the first day of the convention, September 1st.

Length: Events may be 60, 90, or 120 minutes long. If longer than 60 minutes, the submission text must justify the increased requested length.

Reimbursement: This depends on the type of event. Check Section II for details.

Equipment: Anime Toronto will provide a standard panel A/V setup with a table and chairs, microphones, a projector with HDMI input, and speakers. Laptops must be brought by the panelists. Other equipment or unique setups are to be requested in the submission.

Credit: All reimbursement credit is towards a regular weekend pass. If a panelist or performer holds a premium pass, only the value of a regular weekend pass will be credited.

Receipt: Reimbursement is sent via Interac e-transfer no later than 5 weeks following the conclusion of Anime Toronto. If you are from outside of Canada, or are unable to receive Interac e-transfers, please note this in the submission.

Panels

Rule of two: For any particular panel, up to 2 panelists are eligible to earn reimbursement credit. Additional panelists in that panel do not earn credit.

50% credit: A 60-minute or 90-minute panel is eligible for 50% credit.

100% credit: 120 total minutes worth of panels are eligible for 100% credit. This may be two 60-minute panels, or one 120-minute panel.

Extra: Additional credit cannot be transferred to other panelists.

Performers

On a case by case basis.

Gameshows: A single gameshow may be eligible for 100% credit, dependent on work required to produce the event. This is determined at staff discretion; basic gameshows will be given the same credit as a panel. Please feel free to contact us to for clarification.
- Submission deadline:
June 20th at 11:59 PM.July 10th at 11:59pm

Contact date: July 4th. This is 2 weeks after the submission deadline. Only accepted submissions will be contacted. This is where we may request more information and discuss event logistics.

Confirmation date: Panelists and performers will be contacted at latest, 1 week (likely much earlier) before the convention to confirm that they will, indeed, be running their events.

Check-in: Panelists and performers are encouraged to obtain their passes and survey the venue on the day before the convention (August 31st). If this is not possible, panelists and performers should check-in at the Info Booth as soon as they arrive.

Panel check-in: In addition to the Info Booth check-in, panelists should arrive at their designated event room 30 minutes prior to the panel’s start time.

No-shows: Panelists and performers who are unable to commit to their schedule must contact Anime Toronto immediately. Failure to show up at an event will result in reimbursement forfeiture, and may be banned from future event consideration.

Target audience: There are three target audiences.

Standard: This is the “safe for work place” category. Panelists and performers are expected to use language that would be typical of professional work place settings, and are free to discuss or present non-graphic mature content.

All-Ages: This event is for everyone. Please note that due to the possibility of young children in the audience, panelists and performers are held to a much stricter standard. Coarse language (profanity) and depiction of mature content, including graphic violence, is not allowed under any circumstances.

18+: Events with heavy sexual or graphically explicit content must be designated in this category. Note that endorsement of illegal activities under Canadian law is not allowed. Age checks will be strictly enforced prior to the start of the event.

Food and drinks: Panelists may not offer food or drinks to attendees.

Physical and verbal conduct: While criticism is allowed, verbally attacking the character of others, whether they are in the audience or not, is prohibited. Any form of unwanted physical contact is prohibited.

Incapacitation: If a panelist or performer appears to be in an unsound physical state, they will not be permitted to proceed.

Penalties: Anime Toronto staff may terminate a panel at any time due to improper conduct and order everyone to leave the room.

Tech rider: If needed, this must be included in full in the submission.

Experience: Bands and performers must have prior experience, and must link to video samples of their performances.

Billing: Anime Toronto holds sole discretion as to whether an act is held on the main stage or the performance stage.

Definition: This is any event where the primary focus is attendees interactively participating as players. Minor interactive moments during a panel, such as giveaways, don't count as gameshows.

Physicality: Significant physical contact among the players is prohibited.

Player selection: Anime Toronto believes in equal opportunity for any attendee to participate. Fair player selection will be enforced

Method: Players may be chosen in one of three ways: random pick, single skill-testing questions, or a qualifier event. They cannot be chosen solely on protected human classes. (e.g. boys vs. girls, queer vs. straight, young vs. old)

Cosplayer treatment: Players cannot be chosen solely because they are wearing a cosplay.

Random pick: Raffle tickets will be provided that the host can use, and may be distributed shortly before the gameshow begins. Choosing raised hands is not acceptable, as this cannot be proven to be truly random.

Qualifier: If a more complex method is needed, a separate 30-minute or 60-minute qualifier event may be requested. All qualifiers are held on Friday (September 1st) regardless of when the main event is held. Submissions must outline why the qualifier is needed and how it will be run. Qualifiers are useful for competitive gameshows that require intensive knowledge, such as Jeopardy.

Prizing: Vendors or artists willing to donate prizing must contact Anime Toronto beforehand. While we absolutely appreciate donations, this neither insinuates, nor guarantees, any sort of additional discount or preferential treatment.
